Adding the Customer Item Number: A Step-by-Step Guide

This process might seem a bit technical, but stick with me, it’s totally doable!

Step 1: Back Up and Open the Report

First things first, back up your Reports.dic file. This is crucial, especially if you’ve customized your reports before. To find it:

  1. Go to Tools > Setup > System > Edit Launch File.
  2. Enter your system password if prompted.
  3. In GP 9.0, click Microsoft Dynamics GP in the Edit Launch File window. In Great Plains 8.0, click Great Plains.
  4. Jot down the path shown in the Reports box.
  5. Click OK.

Now, let’s open the report:

  1. Navigate to Tools > Customize > Report Writer.
  2. Select Microsoft Dynamics GP (9.0) or Great Plains (8.0) in the Product list and click OK.
  3. Click Reports.
  4. In the Original Reports list, select SOP Blank Picking Ticket Order Entered and click Insert.
  5. In the Modified Reports list, select SOP Blank Picking Ticket Order Entered and click Open.

Step 2: Setting Up Table Relationships

Here’s where it gets a little more involved, but don’t worry!

  1. Go to Tables > Tables (make sure you’re in the main window, not the Report Definition window).
  2. In the Tables window, click sopIndividualPickTicketTemp > Open.
  3. Click Relationships.
  4. In the Table Relationship window, click New.
  5. Click the lookup button next to the Secondary Table box.
  6. Select Sales Customer Item Cross Reference > OK.
  7. In Secondary Table Key, choose sopCustomerItemXrefIdx_ID (it’s the first one).
  8. In the Primary Table column, click Item Number in the first row and Customer Number in the second row.
  9. Click OK to close everything back down to the main Report Writer window.

Step 3: Integrating the New Relationship into the Report

Almost there! Now we just connect the dots:

  1. In the Report Definition window, click Tables.
  2. Click 01.sopIndividualPickTicketTemp > New.
  3. Select Sales Customer Item Cross Reference > OK. You should see a list similar to this in the Report Table Relations list:
  • 01. sopIndividualPickTicketTemp
  • 02. -Sales Transaction Work
  • 03. –Customer Master Address File
  • 04. -Sales Transaction Amounts Work
  • 05. -Sales Customer Item Cross Reference
  1. Click Close.

Step 4: Adding the Customer Item Number to the Report Layout

Now for the satisfying part - seeing that customer item number on your report!

  1. Click Layout in the Report Definition window.
  2. In the Toolbox, click Sales Customer Item Cross Reference.
  3. Drag and drop the Customer Item Number field to the B section of the Report Layout window. Pro Tip: You might want to remove the existing item number (DisplayItemNumber field).

Step 5: Saving Your Changes

Let’s make these changes permanent:

  1. Click Close to close the Report Layout window and Save when prompted.
  2. Click OK to close the Report Definition window.
  3. Go to File and select Microsoft Dynamics GP (9.0) or Microsoft Business Solutions - Great Plains (8.0).

Step 6: Setting Up Security Permissions

Last step! We need to make sure the right people can access this modified report. There are two ways to do this:

Method 1: Advanced Security

  1. Go to Tools > Setup > System > Advanced Security.
  2. Enter your system password if prompted.
  3. Click View > By Alternate, Modified and Custom.
  4. Expand Microsoft Dynamics GP (9.0) or Great Plains (8.0).
  5. Expand Reports > Sales > SOP Blank Picking Ticket Order Entered.
  6. Select Microsoft Dynamics GP (Modified) (9.0) or Great Plains (Modified) (8.0).
  7. Click Apply > OK.

Method 2: Standard Security

  1. Go to Tools > Setup > System > Security.
  2. Enter your system password.
  3. Select the user you want to give access to in the User ID list.
  4. Choose Modified Reports in the Type list.
  5. Select Sales in the Series list.
  6. Double-click the modified report in the Access List (an asterisk (*) will appear next to it).
  7. Click OK.
