Some setup steps are mandatory, while others are conditional based on your organizational requirements. These configurations are accessed through various windows within Fixed Asset Management.

To navigate to these setup windows, follow these steps based on your Dynamics GP version:

  • For Microsoft Dynamics GP 10.0 and later versions: Go to Tools on the Microsoft Dynamics GP menu, then Setup, navigate to Fixed Assets, and select the desired window.
  • For Microsoft Dynamics GP 9.0 and earlier versions: Go to Setup on the Tools menu, then Fixed Assets, and select the window you need.

Required Setup Information

These setup windows are essential and must be configured before proceeding with asset management. They form the backbone of your Fixed Asset Management system.

  • Book Class Setup

You can manually enter asset information using various asset cards within Dynamics GP, including:

- Cost: The original cost of the asset.
- Year-to-date depreciation amount: Depreciation calculated for the current fiscal year.

- Depreciated-to-date information: The date up to which depreciation has been calculated.

When adding assets at the end of a fiscal year, the year-to-date depreciation should be zero, and the depreciated-to-date information should reflect the last day of the year. Otherwise, the life-to-date depreciation must include the year-to-date depreciation, and the depreciated-to-date information should be the date through which depreciation was last calculated. Also, verify that the current fiscal year in the book setup record is correctly set to the current fiscal year.

Step 3: Reviewing Reports

After entering your assets, it’s crucial to review reports to verify the accuracy of your data entry. Reports like the Depreciation Ledger report and the Depreciation Detail report are invaluable for this purpose.

- Total year-to-date depreciation: Ensure current year depreciation aligns with expectations.

Optionally, you can run projected depreciation for future periods and review the periodic projection reports. This allows you to forecast depreciation expenses and plan for future financial periods.

Step 4: Processing the General Ledger Interface

Fixed Asset Management in Dynamics GP automatically generates general ledger entries when you add assets and process depreciation. These entries are stored in the Financial Detail file.

Review the report generated from the general ledger interface to ensure that the account numbers in your Asset Account records are correctly configured. This step is critical for maintaining accurate financial records and ensuring proper posting to the general ledger.

Important: If you have previously posted asset-related entries directly to the General Ledger in Dynamics GP, do not post the financial entries generated by Fixed Asset Management to avoid duplication. Instead, create the batch in Fixed Asset Management and then flag the records in the Financial Detail file as processed. The system will then automatically add the batch number, transaction date, and timestamps to these records. Afterward, delete the automatically created FATRX xxxx batch to prevent duplicate postings.

Step 5: Deleting the Batch Created During General Ledger Interface Processing

When you process the general ledger interface in Fixed Asset Management, a batch is automatically created. As highlighted in Step 4, it is crucial that you do not post this automatically generated batch to the General Ledger in Dynamics GP, especially if you’ve already accounted for these transactions. Deleting this batch after flagging the records in the Financial Detail file is a necessary step to prevent double-counting of financial transactions and maintain the integrity of your general ledger.
